Professional Services

Proposal pipelines, client systems, and knowledge infrastructure for knowledge-driven firms

Law firms, accounting practices, engineering consultancies, and other professional services businesses compete on expertise. Their systems should too. We build the platforms and automation that let senior professionals spend their time delivering value — not doing administrative work.

Common problems

Proposal and scope creation is entirely manual

Generating a proposal requires a senior professional to start from scratch or adapt a previous document — pulling scope language, pricing tables, and terms into a new document for every engagement. This is slow, inconsistent, and burns the wrong hours.

Institutional knowledge lives in individuals, not systems

The best practices, the edge-case decisions, the pricing intuition — it all lives in the heads of senior team members. When those people are busy or unavailable, quality degrades. When they leave, knowledge walks out the door.

Client visibility is reactive, not proactive

Clients call for status updates because they have no other way to check. Each status call is a context switch that interrupts the professional doing the work — and the call often reveals nothing that a simple status dashboard couldn't have communicated automatically.

Analytics shows activity, not outcomes

Utilization reports and time entries tell you what people are working on. They don't tell you which service lines are profitable, which client relationships are growing, or which engagement types generate referrals. The data that matters most is scattered across billing, CRM, and email.

What we build

Claude Skills for proposals and engagement delivery

Package your senior team's methodology, pricing frameworks, and scope language into Claude Skills that any team member can use to generate first drafts of proposals, statements of work, and client deliverables.

CRM and pipeline management

HubSpot or Zoho configured for the professional services sales cycle — long consideration periods, relationship-driven decisions, and proposals as conversion events. Deal tracking, follow-up automation, and close-rate reporting by service line.

Internal knowledge systems

Structured knowledge bases, playbooks, and AI-searchable documentation that makes senior-team knowledge accessible to the full team. Built on tools your team already uses, such as Notion, or as a custom build.

Client portals and project dashboards

Secure client-facing portals that show project status, deliverable tracking, document access, and communication history. Clients get visibility without calling you; you get fewer interruptions.

Questions

Is this relevant for a small firm with 5–10 professionals?

Yes — and in some ways it's more valuable at this size. In a small firm, senior professionals usually write every proposal by hand, and that time comes straight out of client work. The implementation scope is also smaller than for a large firm.

How does the Claude Skills approach work for proposals?

We build a Claude Skill that contains your pricing logic, scope language for each service line, your firm's methodology, and the output format you use. When someone wants to generate a proposal, they provide the client context and engagement details, and the skill produces a structured first draft. A senior professional still reviews it — the skill eliminates the blank-page problem, not the judgment.

We're worried about confidential client data in AI tools.

A reasonable concern. We design Claude Skills to work with the minimum client data needed — typically engagement parameters and scope descriptions rather than full client files. Anthropic's API does not train on API-submitted data under its standard enterprise terms. For matters with exceptional sensitivity, we can architect the skill to work without any client-identifying information.

Can you build on top of our existing practice management software?

Often yes, through APIs or data export integrations. The goal is to add capabilities without forcing a platform migration. We assess what's possible with your current stack before recommending anything new.
